Responsibilities

  • Performs bibliographic verification on incomplete requests by searching online catalogs and databases to ensure accuracy of Interlibrary Loan requests.
  • Searches a variety of bibliographic databases and tools to locate difficult to find material holdings.
  • Processes lending requests.
  • Directs located requests to appropriate campus branch libraries.
  • Receives requested items.
  • Sends applicable requests through Alma Resource Sharing, Rapid, Reprints, ILLiad, OCLC, ALA, IFLA, and the Copyright Clearance Center as required, using the established protocol of each system.
  • Updates and checks out items to requesting libraries.
  • Completes request processing within time requirements stipulated within the software and best practice guidelines.
  • Manages material renewals, recalls, and overdues of loaned materials.
  • Monitors Lending queues in Resource Sharing system.
  • Checks and resolves request errors.
  • Oversees the Resource Sharing department’s scanning and delivery service, ensuring adherence to local and state guidelines and Copyright policy.
  • Utilizes RapidILL, ILLiad, Odyssey, Article Exchange, Alma, Email, as well as scanning equipment and software, to facilitate efficient and compliant material delivery.
  • Maintains a basic level of knowledge of all workflows and procedures within the Resource Sharing unit including UBorrow, Borrowing, Lending, physical processing of requests, scanning, mail, and billing.
  • Monitors changes to the procedure manuals.
  • Serves as back up in all of these areas, including supervising part time staff, as necessary.
  • Utilizes a variety of technologies to search and retrieve information, submit and track requests, resolve problems, and run custom reports to assess services.
  • Runs reports on activities in collaboration with unit colleagues as needed.
  • Maintains up to date operational manual for specified areas of responsibility, as directed by the Resource Sharing Manager.
  • Complies with all applicable laws and procedures regarding Resource Sharing including Copyright law and best practices.
  • Stays current on changes to these guidelines.
  • Interprets policies.
  • Effectively communicates with requester and lending institutions, including Distance Learners, regarding loan requests specifications (e.g. lending conditions, use of materials) and clarifications of bibliographic details. Assists users in the process of placing requests.
  • Communicates reasons when items cannot be borrowed or loaned.
  • Provides excellent customer service to internal and external users.
  • Refers requests and collaborates with other library units as necessary to fulfill requests and solve problems including subject librarians, other FSU Libraries units (e.g. Collections Access, Acquisitions, Cataloging, and Electronic Resources).
  • Utilizes multiple means of communication including phone, email, and the ILL Chat services, monitors department phone and email accounts.
  • Resolves problems.
  • Hires, trains, and evaluates part-time staff.
  • Stays current on the research, technical trends and innovations in Resource Sharing, including multiple technologies, and online services used daily within the department.
  • Participates in professional development activities and networking opportunities in support of further developing the unit.
  • Other duties as assigned.
