The College of Fine Arts seeks applicants for the position of Event & Outreach Coordinator within the Office of the Dean.

Responsibilities

Plans and coordinates College-wide social, educational, entertainment, and fundraising events. Develops and implements communications and programs with the purpose of enhancing alumni and community engagement and promoting giving to the College of Fine Arts.

Organize and manage College-wide social, educational, entertainment, and fundraising events. Coordinate public relations and communications for assigned events by working closely with Media Specialist, Development Officer, and other Dean’s staff members. Solicit vendors, negotiate prices, and prepare budget reports for event-related expenses. Work to maximize event impact while keeping expenses within or under budget. May recruit volunteers and supervise OPS employees from time to time assisting with event execution. Events include: CFA Student Awards Celebration; FSU Day at the Capitol; Dean’s Advisory Board Meetings; Homecoming activities; Alumni Association All-College Tailgate; Faculty/Staff Kickoff; and new outreach and College Membership events to be determined. May provide direction and assistant to support departmental events aimed at alumni. Record event invitations and attendance in donor database.

Work closely with College design, communications, and development staff to coordinate the development of alumni relations communications, including print and electronic materials. Notify alumni of College events occurring in their locale that may be of interest. Encourage alumni to submit updated contact information, news, and other data and ensure information is communicated to departments, the Alumni Association (VIRES), and is updated in Raiser’s Edge. Work with departments as they receive updated information to ensure alumni records are up-to-date. Develop news stories on alumni as appropriate; work with College communications staff to determine how to publicize and highlight featured stories. Represent the College at monthly Alumni Partners meetings to ensure representation at University-wide alumni events. Coordinate annual College alumni awards process. As appropriate, utilize official College social media to connect with alumni.

Participate in the development and implementation of the new college-wide membership program. Analyze event, show, and other attendance and constituent data to identify potential targets for membership. Track new and existing memberships and collaborate to develop print and electronic communications. Develop, plan, and execute members-only events, leveraging existing programming within the College. Track and report membership fees and expenditures, and ensure departmental membership fee allocations are distributed in accordance with the program’s terms.

Oversee and implement improvements to Dean’s gift acknowledgement process for ongoing and annual gifts. Collaborate with Dean’s Staff to ensure awareness of Dean’s schedule and to ensure Dean’s Office representation at key departmental, College, University, community, and other events. Work with Dean’s staff to coordinate VIP visits.

Develop and implement new methods of engaging the community in college activities and functions. Build relationships with local arts and community organizations. Once outreach is developed, develop and coordinate new events to highlight and strengthen connections in coordination with community organizers.

Attendance at assigned after hours and weekend events is required; limited travel may be required. May hold a University Purchasing Card. Job duties may require driving to off-campus locations.

Qualifications

A bachelor’s degree and two years’ experience or a combination of post high school education and experience equal to six years is required. A demonstrated ability to communicate effectively verbally and in writing is required, as is knowledge of the principles and practices of event planning and public relations. Qualified candidates will have the ability to establish and maintain effective working relationships, and must be able to prioritize, organize, and perform multiple work assignments simultaneously. Experience using Microsoft Office, Word, Excel, PowerPoint, and Outlook or comparable software is required. Must have a valid Florida or Georgia drivers’ license or the ability to obtain.

Preferred

Experience organizing, coordinating, and evaluating events and meetings is preferred. Candidates with a strong customer service orientation and project planning experience are preferred, as are applicants with experience training and directing the work of others. Incumbent will work closely with multiple positions in day-to-day work; therefore, a demonstrated ability to work successfully as a part of a team is preferred. Preferred candidates will demonstrate skills in presenting in front of groups.

Anticipated Salary Range

Anticipate hiring at or near $30,000.

This is an A&P (Administrative & Professional) position.
