In the role of an OPS Communications Coordinator, the successful candidate will provide administrative and clerical support to the staff and supervisors in the Office of Film & Entertainment (OFE). She or he will be expected to work 40 hours per week, Monday thru Friday, from 8:00 a.m. to 5:00 p.m. This administrative support work may involve any of the following duties and responsibilities:
Communication
Coordinate and respond to communication related requests (ie, incoming letters, general phone calls, press, etc.)
Maintain OFE social media, including Facebook and Twitter
Website
Maintain OFE new website filminflorida.com using Word Press
Maintain OFE’s public calendar
Advertising/Outreach
Work with DEO Communications staff to create ad campaigns, and other creative works/materials
Write promotional and collateral copy
Work with industry organizations and festivals regarding sponsorship and outreach
Administrative
Answer phones, handle correspondence and filing
Prepare travel requests
Liaison for the Advisory Council: communicate with members regarding upcoming meetings, minutes and agenda
Plan offsite meetings
Transcribe quarterly meeting minutes
Process office reimbursements
Work on special projects for the State Film Commissioner as needed
Procurement and Budget
Assist with developing OFE’s fiscal year plan and budget for sponsorships, travel, and advertising
Compose and process requisitions and invoices for all purchasing, subscriptions and sponsorships
Process OFE and Advisory Council travel and requests
Verify and pay invoices using MyFloridaMarketPlace
One of the goals of the Florida Office of Film & Entertainment is to ‘market the state as a world-class production center’ and to ‘attract and promote film and video production in Florida’. The responsibilities of the Communications Coordinator help to achieve these goals.
