Responsibilities
· Coordinates special projects by providing executive, administrative, and analytical support to the Provost and Associate/Assistant Vice Presidents for Academic Affairs led initiatives for Board of Trustees, external reviews/oversights.
· Collection and analysis of data and the preparation of materials for meetings and committees.
· Collaboration with the Provost, AVPs, and staff to manage project, scope, timeline, budget various Academic Affairs initiatives.
· Coordinates special projects, correspondence, and calendar maintenance for the AVPs and other members of the Provost’s executive team.
· Coordinates QER program review meetings including communication with the involved parties.
· Distributes program review materials and maintains file archives associate with the reviews.
· Responds to occasional requests for data and reports.
· Assists with the seven-year-in-house reviews for centers and institutes.
· Provides administrative support for the university’s accreditation efforts, including the preparation of reports, maintaining correspondence, and assisting with on-site visits.
· Coordinates and supports the University Travel Grants committee and the faculty and employee awards committees.
· Supports the Institute of Academic Leadership Program Director with budgeting, purchasing and approving travel.
· Maintains up-to-date mailing/communication list for various groups(vice presidents, deans, directors and chairs) along with records and appointments to university-wide committees.
· Answers the telephone and general office support. Schedules group meetings for Provost Office AVPs and schedules conference rooms as necessary.
· Coordinates with webmaster for changes to pages associated with the Provost’s Office.
· Serves as backup for Provost and President Office HR support activities (e.g.,reviewing attendance & leave, active appointments and payroll certification reports).
Qualifications
Bachelor’s degree and four years of experience; or a high school diploma/equivalent and eight years of experience. (Note: post-high school education can substitute for experience at the equivalent rate)
· Strong written and oral communication skills.
· Strong interpersonal skills.
· Able to work independently and with others on projects.
